Apocalypse Hackathon — planning timeline

Every task from the draft list, plus the pieces MLH requires that weren't on it yet, laid out against the dates MLH actually holds you to. Red rules mark deadlines set by someone other than you.

What was missing from the draft

The draft covers design and comms well. The gaps are the things MLH checks for and the things that only hurt on the day.

The MLH application itself wasn't on the list. Slots are limited and awarded as events apply. For a March event MLH wants the application in by November at the latest.
No budget. MLH reviews it as part of the application, and the sponsorship prospectus can't be priced without it.
Google Forms won't pass as-is. MLH requires specific fields, three consent checkboxes, and the ability to email everyone who registered. Their OrganizerHQ tool is free and has this built in. Eventbrite appears twice in the draft and overlaps — pick one list of record.
Overnight is a requirement, not a nice-to-have. The venue has to stay open overnight or you provide alternate accommodation. That changes the F500 booking, the security booking, and — with Dawson students who may be under 18 — the consent forms.
Nothing about judging, mentors, volunteers, or the run of show. Judging and prizes must finish on the Sunday; MLH also needs 10 minutes at opening, 5 at closing, and two 30-minute blocks before 9pm.
"Dawson people — wait for them" has no deadline. Give them one. It's on the list for 18 December.
